Waalre, February 26, 2008 – All 162 branches of De Hypotheker, the largest
independent mortgage advisor in the Netherlands, have implemented Hyarchis.Net,
the Enterprise Content Management (ECM) system for the digital storage and
processing for all paper and digital documents. This means these branches are
now able to refer to all documents digitally, and to easily send them to their
clients, the notary’s office or the lending institution, for example. More than
3.5 million documents have been quickly and simply digitized during the last
year by using the document management functionality of Hyarchis.Net.
It was less than a year ago when the first branch of De Hypotheker began using
Hyarchis.Net. Now all their branches are profiting from an enormous improvement
in efficiency. All the documents relating to a mortgage no longer have to
manually uploaded and processed. Each of them is now provided with a barcode,
enabling them to be directly scanned into the archive and automatically indexed,
classified and authorized. This ensures the documents are correctly placed in
the mortgage file and that the branches receive an appropriate authorization.
At the start of the digitizing project, the Hypothekers Associatie (the umbrella
organization of De Hypotheker) worked with two separate archives. These have now
been combined, allowing the more than 3.5 million documents to be digitized and
brought together in Hyarchis.Net, so that the mortgage dossiers can be quickly
and easily retrieved and consulted.
Ivo van Strien is the project manager at the Hypothekers Associatie and
responsible for the Hyarchis.Net implementation. “Hyarchis.Net has exceeded our
expectations,” he says. “We’ve found the application to be exceptionally
customer-friendly, which has enabled it to be quickly incorporated into the
whole range of programs we work with at our branches. The mortgage dossier
archive is growing rapidly, and the ECM system gives us a stable structure in
which all the clients’ data is efficiently and securely stored and easily
accessed.”
E-mail management
In addition to the archive in which all mortgage dossiers are stored, the
Hypothekers Associatie will also be digitizing all personnel files, the files
from the lending institutions and all the files from each branch. The
Hypothekers Associatie will also be using Hyarchis.Net for the contracts
administration, and the organization will use Hyarchis.Net’s e-mail management
module. This will make it possible to automatically archive all the relevant
e-mails that are sent to and received from clients in the appropriate mortgage
dossier.
